The system, by default, marks a new donation as 'un-thanked'. Once you've located your un-thanked donations (see how to find un-thanked donors), you will be guided through a multi-step process for thanking your donors.
The first step will ask you if you want to proceed with your Not yet thanked, In-Process, or All.
A Not yet thanked donor is fairly straightforward - it's a donation where the donor has not been thanked, at least not as indicated and tracked in the system. In-Process though is there to allow for a more iterative process. For instance, for safety purposes, you might not want to mark them as thanked until you are certain your candidate or board member has signed and sent the letters. In this case, you might print the thank you letters and mailing labels, send these to your candidate, and mark them as 'in-process' until you've confirmed they've been sent. This is the purpose of in-process.
In step 2, you will be asked to select the individual donations that you want to work with.
Select the records you want to work with. Or scroll to the bottom and select 'all'. Click the Proceed button at the bottom.
The final step allows you to do to separate actions:
- perform the thank you action that you want. e.g. print letters, print mailing labels, download an Excel sheet, etc.
- the second section asks you to update the status of the donations. You can leave them as un-thanked, mark them as in-process, or mark them as thanked. In a typical situation, you'd mark them as thanked. But teams have varying processes for dealing with the thank you process and this feature supports those various processes.
Once you've selected the status in the bottom section, the page should close and return you to the dashboard.
