If you have a bunch of records that you want to delete, you can do that pretty easily from the Mass-Edit function.
The first step is to get to your list of records to be deleted flagged with the Dupe/Delete system code.
If the list of people that you want to delete coincides with a list in your Saved Lists area, then you can simply follow these steps:
- Start by going to the the appropriate list of people in Lists and Reports.
- Click the Go icon
- In the Take Action screen, select Mass-Edit records
- Scroll down and select the drop-down for custom code, Dupe/Delete.
- Save. Your records are now all marked with the system code, Dupe Delete.
- Proceed to step 2 below.
If the list of people that you want to delete does NOT coincide with a specific list, then you will need to take an intermediary step to identify your targeted records for deletion. Follow these steps:
- Start by going to any list that has all of your target records. For example, if you are targeting nearly everyone in your system that does not have an email, then you'd start with a list for Everyone without an Email Address.
- Click go
- In the Take Action screen, export your list
- In the downloaded Excel file, review your records, removing all records you want to keep, leaving all the records targeted for deletion.
- When done, remove all columns except for the first column buid. This is the only piece of data you need. (It is recommended to create a new file and keep your source excel just in case you need it for later)
- Go to Manage Data on the left hand menu
- Click the Manage and Clean Data tab
- In the top section, click the source file as a list of IDs
- Browse to your file with all of the IDs of the records you want to delete. Select that file.
- Scroll down and select the drop-down for custom code, Dupe/Delete.
- Save. Your records are now all marked with the system code, Dupe Delete.
- Proceed to step 2 below.
Step 2 - Removing the flagged records
- Go to Manage Data
- Click the Manage and Clean Data tab
- Click the Manage Records Flagged for Deletion
- This will show you all the records flagged for deletion
- Review these records, check all the ones to be deleted and click Remove
All data for the checked records will be removed permanently from your system
